We seek a skilled and meticulous Project Manager and Administrative Assistant to provide comprehensive support to three senior executives, including the Vice President of Early Education and two Vice Presidents of Child Development. This primarily remote position requires occasional in-person engagement in alignment with leadership requests. The ideal candidate will exhibit outstanding organizational capabilities, professionalism, and a shared enthusiasm for advancing our mission.
Key Responsibilities
- Provide high-level administrative support, including managing schedules, appointments, and travel arrangements for senior leaders.
- Prepare and organize necessary materials for meetings, presentations, and conferences.
- Act as the primary liaison between senior leaders and internal/external stakeholders, ensuring smooth communication.
- Handle confidential information with the utmost integrity and discretion.
- Participate in meetings (both virtual and in-person) with a focus on precise note-taking and contributions as needed.
- Maintain professionalism during face-to-face interactions, respecting the professional dress code and clarity on assigned roles.
- Oversee and support various projects within afterschool, day camp, and early education programs, ensuring they are completed effectively and timely.
- Collaborate with stakeholders to establish clear project goals and deliverables, monitoring progress and making necessary adjustments.
- Foster and maintain productive relationships with partners and stakeholders, acting as a liaison for the organization when required.
- Uphold high standards for all assignments, continuously evaluating their effectiveness and incorporating stakeholder feedback for improvement.
- Prepare reports on program statuses as directed, outlining accomplishments, challenges, and future plans while maintaining meticulous documentation.
Required Skills
- A Bachelor’s degree in a relevant field (such as Business Administration, Nonprofit Management, or Recreation Management).
- Proven experience in project management, particularly in a nonprofit or community-focused setting.
- Exceptional organizational and time management abilities, capable of juggling multiple priorities efficiently.
- Strong interpersonal and communication skills, adept at fostering positive relationships.
- Proficiency in managing complex schedules and handling sensitive information.
- Familiarity with Microsoft Office Suite and project management tools.
